Approval settings
Approval settings decide whether a submitted forecast needs a human sign-off before it can be published, and who that approver is. They are configured per location.
Page: Admin -> Approval Settings (/admin/approval-settings) · Role required: admin
Configure a location
- Go to Admin -> Approval Settings.
- Click New to add a location, or the row of an existing one to edit it.
- Select the location.
- Choose the approval mode:
- Auto-approve on - a submitted forecast is approved automatically and can be published immediately. Use for small teams or during a pilot.
- Auto-approve off - the forecast waits in Pending Approval until one of the named approvers approves it.
- If auto-approve is off, tick one or more approvers from the list of people. Anyone ticked can approve forecasts for that location.
- Click Save. The page confirms with "Settings saved."
Only people who have a linked user account appear in the approver list, so add them in People and make sure their invite has been accepted first.
How it changes the workflow
| Setting | GM submits | Then |
|---|---|---|
| Auto-approve on | Status goes to Approved | GM (or admin) clicks Publish |
| Auto-approve off | Status goes to Pending Approval | An approver reviews and approves, then the forecast can be published |
Approvers are notified through their configured notification channels. See Notifications overview.
Recommended patterns
| Situation | Setting |
|---|---|
| Single-store operator | Auto-approve on |
| Multi-unit with a regional director | Auto-approve off, regional director as the only approver |
| New GM onboarding | Auto-approve off for their store until they have a few accurate weeks |
| Peak season lockdown | Auto-approve off everywhere, with two approvers so nothing stalls on one person's vacation |
Avoid a single point of failure
Name at least two approvers per location. With one approver, a forecast is blocked whenever that person is unavailable.
