People and roles
People are the members of your organization. Roles decide what they can do; location permissions decide which stores they can do it for.
Pages: Admin -> People (/admin/people), Admin -> Roles (/admin/roles), Admin -> Invites (/admin/invites), Admin -> GM Coverage (/admin/gm-coverage) · Role required: admin
Add a person
- Go to Admin -> People.
- Click Add Person.
- Fill in first name, last name, and email (required), plus phone and title if you have them.
- In the Locations dropdown, select every location this person works at.
- Click Create.
To change someone later, click the pencil icon on their row; to remove them, click the trash icon and confirm.
System roles
Every user carries exactly one system role. It is delivered in the sign-in token and drives what the app renders.
| Role | Can do |
|---|---|
admin | Everything, including all of Admin |
general_manager | Create, adjust, submit, and (when permitted) publish forecasts for assigned locations |
manager | View and adjust forecasts for assigned locations |
read_only | View only |
ai_user | Chat assistant access without operational write access |
Non-admin users who navigate to /admin are redirected back to the home page.
Custom roles
Admin -> Roles has two tabs:
- Custom Roles - names your organization invents, such as
Shift LeadorVP Sales. Free-text name plus an optional description. Use them for reporting and for grouping notification recipients. - System Roles - assignment of the fixed roles listed above.
Each tab has its own Add, Edit, and Delete controls.
Invite users
- Go to Admin -> Invites.
- Click Send Invite.
- Enter the person's email and the organization name, then submit.
- The invitee receives an email with a sign-in link. Their status shows as pending until they accept.
Additional controls on the page:
- Resend invite - re-sends the email if it expired or was lost.
- Delete invite - revokes an invitation that has not been accepted.
- Show Deleted / Hide Deleted - toggles revoked invitations into the list.
- The search box filters by email or name.
GM coverage
Admin -> GM Coverage shows, per location, which General Manager is responsible. Use it to spot stores with no GM assigned before forecast deadlines: a location with no GM means nobody is being alerted to submit its forecast.
Checklist
- Every GM and manager exists in People with the correct email.
- Every person has at least one location assigned.
- Each person has the right system role.
- Every location shows a covering GM in GM Coverage.
